Executive Assistant (Medical Affairs)
Will be responsible for handling, completing and/or coordinating any administrative related work for the the VP, the department heads, their teams and related projects. This willl include tasks such as composing and typing correspondence and communications, organizing and maintaining file system, answering and screening executives’ telephone calls, arranging conference calls, arranging all aspects of meetings (both on- and off-site), coordinating executives’ schedules, making appointments, greeting visitors, coordinating travel arrangements, compiling expense and other reports, copying, printing, emailing, mailing, faxing, and other administrative duties as needed or assigned.
Bachelor’s degree with a minimum of 3 year relevant experience or equivalent education and experience, where at least 2 years have been in support of a VP. The ideal candidate must be flexible, have the ability to perform various tasks simultaneously, while maintaining a professional and composed demeanor. Excellent organizational skills are essential, as well as exceptional written and oral communication skills are required, including maintaining professional phone etiquette. Highly proficient in Microsoft Outlook, Microsoft Word, and PowerPoint and have a working knowledge of Excel. Understand or have the ability to learn technical, scientific and medical information as needed. Must have ability to be discrete, to make sound decisions and to work independently, in additon to being a proactive problem solver . Must be able to perform under pressure in a high paced environment where accuracy is a must. Must be able to work with all levels within the company in support of interdepartmental teams. Must be able to support field-based teams, where communications are often via email and phone.
