Stock Option Administrator

SUMMARY: This position is responsible for assisting with all aspects of Ironwood’s stock plan administration including stock options, restricted stock units and performance based restricted stock units. This position is an integral member of the Finance & Accounting team and will also support the financial monthly close. Additionally, this position will help support the payroll function by assisting in the review and auditing of company expense reports.

ESSENTIAL DUTIES AND RESPONSIBILITIES (include, but are not limited to):

  • Day-to-Day administration of all aspects of the Company’s equity compensation plans including but not limited to:
  • Daily data exchange to update participant accounts and settle trades
  • Verifying stock option exercises and preparing instruction letters to Transfer Agent
  • Creation and activation of new grants
  • Maintaining database integrity and ensuring accuracy of employee data contained in Equity Edge Online
  • Calculating and maintaining tax withholding and rates; coordinating with Payroll
  • Processing manual stock option exercises and 10b5-1 same-day sales with broker
  • Processing restricted stock units releases and perform associated tax withholding activities
  • Collaborate with Legal, Human Resources and Payroll on equity-related issues, taxes and filings
  • Generate recurring reports (monthly, quarterly and annually) and respond timely to ad hoc data requests
  • Assist with preparation and filing of Section 16 reports (Form 4) for insiders and preparation of year-end tax statements
  • Provide excellent customer service responding to all inquiries from employees, shareholders and brokers
  • Coordinate with Finance team re: general ledger accounts and participating in financial and SOX controls audits
  • Assist with other equity projects as assigned

QUALIFICATIONS, EDUCATION and/or EXPERIENCE:

  • Two plus years of equity administration experience, preferred
  • Outstanding analytical, communication, and organizational skills
  • Strong verbal and written skills
  • Strong work ethic and ability to accommodate tight deadlines in a fast-paced environment
  • Exceptional commitment to detail and accuracy in all levels of work
  • Demonstrated experience maintaining confidential information
  • Flexibility and team-oriented; ability to balance multiple priorities
  • Proficiency in equity administration software (Equity Edge Online is a plus)
  • Strong Excel, Word and Database software skills
  • Knowledge of Section 16 (Forms 3, 4, and 5) filings, 10b5-1 Plans a plus
  • Bachelor’s degree, preferred
